Thank you to those who attended. It was a great showing of caring and concerned neighbors. We appreciated the questions and we hope that we can help answer and clarify a few things here for those who were unable to make it. 

Who manages our neighborhood?
As many of you know there are two parties that help manage our neighborhood. Our property management group (CSI Properties) and the elected Board of Directors. CSI is a third-party paid contractor that helps our community with day-to-day repairs, ongoing maintenance, and the upkeep of properties as it pertains to our Covenants, Conditions, and Restrictions (CCRs). The board is a volunteer (unpaid) group of 4-5 individuals and their role is to help protect and increase the HOA's property values, to drive a sense of community, and oversee the finances of the community.

Who is in charge of putting on events?
Events are driven by volunteers from the community. The Board may ask a resident to take up a volunteer role (ie. Easter Egg Hunt) but we encourage our community to drum up ideas and form committees to help put events on that will engage our community. 

 

Food trucks are organized by CSI for our neighborhood but Ashlyn Creek does not pay for the food or sponsor the truck. 

Who manages the Facebook page?
The Facebook page is managed by one of your neighbors and the board does not have control or administrative rights to monitor the group. However, we ask three things in order to help maintain a sense of community on the Facebook page.

  • Be kind to your neighbors.

  • Ask questions of CSI or the board before posting.

  • Utilize the AC website and the CSI website for answers.
     

Who sends out the violation letters? 
This is a question we get asked often. Violation letters are sent out via CSI, our property management company. CSI has a representative drive through our neighborhood to help ensure compliance with our CCRs. If a homeowner is not in compliance they will draft a letter so that the homeowner is aware they are not in compliance and give the homeowner a specified timeframe to remedy the situation. If the homeowner does not respond or ignores the violation letter another will be sent. If there is no communication and it goes on for a period of time, the homeowner will be called for a hearing. 

 

Often the board is unaware of violation letters sent until after they are sent. 


**A quick note about prior communications from CSI. The board will be reviewing all canned correspondence from CSI to help communicate more clearly the letters and communications that are sent out on behalf of the board and the community. It is our desire to help our neighbors understand violation letters more clearly and to soften the tone in keeping with the tone and tenor of our friendly neighborhood. 

 

Who was elected to the open board position?
Eric Davis (finishing a three-year term for a former Board Member) resigned and Buz Stepanek was elected for his position for a three-year term. 

Can residents attend a Board meeting?
Absolutely! We encourage any residents to attend our monthly meetings if they have questions regarding the community. 

Resident questions directly from Facebook and from the Annual Meeting:

 

  1. Is anyone else bothered by the expenses attributed by the company that manages our HOA in their annual projected budget??

    1. Have you read the amount allocated to landscaping expenses?
      The community manages a tremendous amount of property, trees, bushes, flowers and common land. The board agrees that the amount allocated to landscaping is adequate and a very good rate for the amount of property we have to maintain.

    2. What about electricity?
      Our electrical is for the pool house and pool-associated equipment. Other electrical is minimal but includes the sprinkler system for both entrances and low voltage lighting.

    3. Why are the lights around the pool area on 24/7? The lights have defaulted and the CSI has an electrician working on fixing them. 

    4. Also, there is the amount they project spending on paper, coupons, envelopes and mail, even though they notify us that only one letter per calendar year will be sent to collect the HOA dues. CSI is required by law to notify residents of certain aspects of the maintenance of the community (ie. reminder notices, violation letters etc.). The amount allocated for this is the expenses related to that. 

    5. It is up us to remember when to pay the second semester. 
      Yes, we send out one letter at the beginning of the year. We do have a reminder that is sent via email. Please be sure to mark communications from CSI as not spam if you are not receiving them. You can also check your portal to be sure that your email is correct. We will also commit to reminding the neighborhood via Facebook as well to help with a reminder.  

    6. There's also an astronomical amount allocated to a savings account for unforeseen expenses. We have many upcoming expenses that will cost a significant amount of money. We are putting money aside for those (ie. Pool resurfacing, pool roof, cement wall - please see the Reserve Study for more information on this. The reserve study can be found in the CSI portal. 

    7. Why isn't a portion of this amount used to cover the maintenance of the pool house as well as the painting of the shutters? It is. 

  2. Who thinks this CSI is perhaps in this job too long, as they appear to be getting very bossy over both property and money that belongs to all of us?? I think it might be time we shop for another company that will understand its position, instead of confusing itself with the rightful owners of Ashlyn Creek.
    We can certainly shop for another property management company, but the Board feels that they do a very good job and help to maintain a tidy and compliant neighborhood. Residents can bring their concerns regarding our property management company up at a board meeting and we are happy to discuss where you feel they are falling short. 

  3. Who are the landscapers and are they related to a resident or to Mike Niblock? 
    The current Landscaper is Smith Specialized Landscaping and they are not related to Mr. Niblock nor are they a resident.

  4. On the 25th, there will be a meeting to elect a president. That might be a good time to bring up the subject of all of the above.
    There was no election for the president of the board. 

  5. Why did the amount of HOA dues go up even though there are more houses to collect from than there were before the occupation of the subdivisions located on both sides of the original Ashlyn Creek were completed?
    The dues went up due to two things. One was because we had not raised dues since the neighborhood was established–we needed to play a little catchup. And two, because we need to keep up with the rising costs and inflation. Expect to see about a 2.5% increase each year going forward. 

  6. There's only one HOA overseeing all three subdivisions, right?
    Yes. 

  7. Who owns streets because people still park on the street?
    The town owns streets and we can send a courtesy letter to the homeowner from CSI

  8. Signage up front is worn and faded. Can we replace/paint/touch up?
    Board is looking at repairs, repainting and replanting for the front of the community

Pool Fob Requests:

All requests should be emailed to sjeffcoat@sentrymgt.com.

Include whether it is a replacement or new fob request. Name, Address, and contact number. Fobs will be mailed to the owner within 48 hours.

Account Issues/Statements

To request a statement of your account for closings, refinancing, etc. Email accounting@csiproperties.com.

Include your name and property address requesting a copy of your statement.
